The record
What stays on file after the first order ships.
A repeat is only fast when the specification is on file rather than in somebody's memory. These six things stay attached to your order number, and each one removes a question from the second order.
The order number, and a sub-number per design
The final approved artwork version
The approved sample and the colour reference
The full production data of every item
The packing instruction
The quality and shipping record
The point of keeping all of it is one sentence in the client's own material: a customer reports the old order number and a new quantity, and the repeat runs quickly and accurately. Everything above exists to make that sentence true — and where a batch did change colour, size, thread, material or packaging on a supplier without a historical specification, that is exactly the failure this record is built to prevent.
The flow
Six steps, and only one of them is new.
A repeat runs through the same production system as a first order — it simply skips the work that was already done: the artwork, the digitizing, the sample and the specification.
-
Step 01
You send the reference
The previous order number — or the sub-number, sample or specification you were sent — plus the quantity you need this time. That is enough to open the record; nothing has to be re-drawn or re-described.
-
Step 02
We check what has changed
Where the design, colour, size, process, backing and packaging are all identical, the historical record is used as it stands. Where something has changed, only the changed part is re-confirmed instead of the whole specification being re-issued.
-
Step 03
Quantity, price and date confirmed
The price is re-checked on material, labour, quantity, FX and freight: a small movement is kept stable to hold the price, and a clear one is explained before it is charged. The date is confirmed on this order, which passes the same release gate the first one did.
-
Step 04
Production
The run follows the final approved artwork version and the approved sample on the file, produced to the same specification as the batch before it rather than to a fresh interpretation of the design.
-
Step 05
Quality control
The same four points as any order: first-piece or first-batch approval, in-process inspection, finished-goods inspection and the pre-packing review. A defective piece is removed rather than counted as qualified, and it is remade to the full quantity.
-
Step 06
Packing and shipment
The packing review runs over quantity, packing method, label, barcode, SKU, carton mark, any special requirement and the order number. Photographs, videos, packing photographs and the quantity are sent to you after QC, and shipment is arranged once you confirm there is nothing obviously wrong.
Two things are asked for on every order, first or repeat, because they decide how the run is checked: the quantity is delivered in full unless a production tolerance was agreed before the order, and the artwork version on the file has to be the final approved one. On a repeat both are already settled, which is most of the time saved. Quality Control covers the inspection side in full.
Changes
Four things change, and each one is re-confirmed.
None of these is a problem — they are the normal reasons a buyer comes back. They simply have to be said, because the point of a repeat is that nothing changes by itself.
Quantity
Colour
Packaging and labelling
Size, process or a style tweak
One thing worth knowing before asking: a change made after an approved bulk has already run — a different colour, size, process or style — is a new change and is quoted as one, rather than being run as a correction of the previous batch. A product that matched the approved artwork, sample and agreed standard is not a quality problem because a preference changed afterwards.
Long-term
A small first order is not a small customer.
Batches are planned, not guessed at. What follows is what the factory keeps and works from when an order repeats across a season, a year of events or a growing line.
Current quantity and future scale are confirmed separately on purpose: a first order that starts small can carry an annual volume, a seasonal demand, several SKUs or a scale-up behind it, and none of that can be read from the size of the first order.
What is kept and worked from
- Seasonal demand and the event calendar behind it, so production is planned ahead of the window rather than into it.
- A reminder timed from your order history, your consumption, your event schedule and your previous reorder cycle — not a monthly message sent to everybody.
- One or two related products suggested where there is a clear related need, rather than the whole catalogue at once.
- A follow-up shortly after delivery: whether it arrived, whether it is right, and whether anything needs attention.
- The record that follows it: what worked, whether a restock is likely, what else is needed and when the next order would fall.

Send the last order number and the new quantity.
Add anything that has changed — colour, size, packaging, labelling — and it is the only part that has to be confirmed. Everything else is already on the file from the batch you approved.
